Job Description:
We are looking for a highly organized Operations / Administrative Officer to serve as the operational hub of our solar energy company. This role requires a professional who can seamlessly transition between managing office documentation and coordinating complex field logistics. You will be responsible for ensuring that our project teams have the materials, schedules, and administrative support they need to deliver high-quality solar solutions. The ideal candidate is a multitasker with strong attention to detail who can manage relationships with vendors, staff, and customers effectively.
Requirements:
1. Operational Coordination & Logistics
Project Scheduling: Manage the master calendar for site visits, technical audits, and installations, ensuring efficient deployment of field teams.
Supply Chain Support: Coordinate the procurement of solar components (panels, inverters, batteries) and office supplies, ensuring zero delays in project timelines.
Logistics Management: Oversee the movement of equipment and personnel to various project sites across the region.
2. Office Administration & Documentation
Records Management: Maintain accurate digital and physical records for projects, inventory, staff, and vendors.
Financial Correspondence: Prepare professional quotations, invoices, and reports, ensuring all documentation reflects the company’s standards.
Compliance: Ensure all office activities and field operations adhere to company policies and health and safety (HSE) procedures.
3. HR & Stakeholder Management
HR Support: Manage staff records, including attendance, leave tracking, and the onboarding process for new hires.
Communication Hub: Serve as the primary liaison between customers, external suppliers, and internal technical teams.
Office Maintenance: Ensure the day-to-day office environment is functional, professional, and well-supplied.
Qualifications and Skills:
Education & Experience
Academic Background: HND or B.Sc. in Business Administration, Management, or a related field.
Proven Tenure: Minimum of 3 years of experience in an operations or administrative role, preferably within the engineering or energy sector.
Technical & Professional Skills
Software Mastery: High proficiency in Microsoft Office Suite (specifically Excel for inventory/logistics tracking and Word for professional correspondence).
Process Orientation: Ability to develop and follow structured workflows to manage complex tasks.
Communication: Excellent verbal and written skills for managing diverse stakeholders.
