Job Description:

We are seeking a highly organized and proactive Executive Assistant to serve as a critical operational partner to our senior leadership team. This role goes beyond traditional administrative tasks; you will be the "air traffic controller" for the executive office, managing complex schedules, triaging communications, and ensuring that strategic priorities are met without friction. The ideal candidate is a master of logistics and a guardian of confidentiality, capable of anticipating needs before they arise and representing the executive office with the highest level of professionalism.

 

Requirements:

1. Executive Orchestration & Calendar Mastery

  • Dynamic Scheduling: Manage complex, shifting calendars by prioritizing high-impact meetings and protecting "deep work" time for executives.

  • Travel & Logistics: Coordinate end-to-end local and international travel, including detailed itineraries, visas, and ground transportation.

  • Deadline Management: Actively track executive deadlines and project milestones, ensuring all deliverables are completed accurately and on time.

2. Strategic Communication & Liaison

  • Primary Gatekeeper: Serve as the first point of contact between senior executives and internal/external stakeholders, managing relationships with diplomacy.

  • Correspondence & Briefing: Draft, review, and edit high-level reports, presentations, and emails. You will ensure the executive is fully briefed with relevant materials before every engagement.

  • Meeting Governance: Organize board and management meetings, prepare agendas, record technical minutes, and rigorously follow up on action items.

3. Operational & Project Support

  • Project Coordination: Lead special executive projects and office initiatives, ensuring logistics and resources are aligned with company goals.

  • Discretion & Trust: Handle highly sensitive corporate data and personal information with absolute confidentiality and professional integrity.

  • Event Planning: Orchestrate executive engagements, board retreats, and high-level corporate events from concept to completion.

Qualifications and Skills:

Education & Experience

  • Academic Background: Minimum of HND or B.Sc. in Business Administration, Office Management, or a related field.

  • Proven Tenure: Significant experience as an Executive Assistant or Personal Assistant supporting C-Suite or Senior Management.

  • Tech Proficiency: Expert-level mastery of Microsoft Office 365, Google Workspace, and modern project management/scheduling tools.
