Job Description:

We are looking for a committed, professional, and patient-focused Front Desk Officer to be the first point of contact for our organization. The ideal candidate will be the face of our front office, ensuring that every visitor or caller receives a warm, efficient, and professional welcome. This role requires a high degree of emotional intelligence, exceptional organizational skills, and a dedication to providing a seamless experience for all guests and stakeholders.

Requirements:

  • Front Office Management: Manage the reception area, ensuring it remains clean, organized, and welcoming at all times.

  • Visitor & Inquiry Handling: Greet guests professionally, manage incoming calls, and provide accurate information regarding our services/facility.

  • Administrative Support: Assist with clerical tasks, including managing schedules, coordinating appointments, and maintaining essential logs/documentation.

  • Patient/Guest Experience: Ensure a patient-focused environment by addressing inquiries with empathy, patience, and clear communication.

  • Security & Compliance: Oversee visitor access and maintain security protocols in accordance with office policies.

Qualifications and Skills:

  • Experience: Minimum of 5 years of professional experience in a front desk, reception, or administrative support role.

  • Residency: Must reside within Gwarinpa or its immediate environs to ensure reliable and timely attendance.

  • Key Competencies:

    • Communication: Excellent interpersonal skills with the ability to communicate clearly and professionally with a diverse range of people.

    • Professionalism: High degree of personal integrity, punctuality, and a polished professional demeanor.

    • Patience: A proven ability to remain calm and helpful in high-pressure or busy environments, maintaining a "patient-first" mindset.

    • Technical Proficiency: Ability to handle basic office software and communication equipment effectively.
