Job Description:

SP Fusion is seeking a proactive and detail-oriented Admin/Event Assistant to serve as the operational backbone of our office and the logistical support for our events. This is a hybrid role perfect for an organized professional who is equally comfortable managing a filing system as they are coordinating vendor logistics on the ground. You will bridge the gap between our corporate administrative functions and our dynamic event projects, ensuring that every detail from the boardroom to the ballroom—is handled with precision.

Requirements:

  • Administrative Excellence: Oversee daily office operations, including documentation, record keeping, and supply management. You will be the central point for maintaining our client directories and vendor databases.

  • Event Logistical Support: Act as a key resource for the Events Team, assisting in the planning, setup, and breakdown of corporate and private events. You will handle vendor liaison, site bookings, and follow-ups.

  • Client & Team Liaison: Serve as a professional first point of contact for clients and vendors. Support the Principal Consultant and Event Team Lead in preparing high-impact presentations, reports, and event briefs.

  • Documentation & Reporting: Maintain the integrity of our contracts, invoices, and payment schedules. You will be responsible for tracking project deliverables and ensuring that all post-event evaluations are documented.

  • Continuous Improvement: Embrace a learning-centric culture. You will participate in mentorship sessions and actively study our internal systems to drive efficiency in our workflows.

Qualifications and Skills:

  • Organizational Skills: Exceptional ability to manage multiple tasks, prioritize conflicting deadlines, and maintain an orderly workspace.

  • Communication: Strong interpersonal skills with the ability to communicate professionally with high-value clients and diverse vendors.

  • Technical Literacy: Proficient in office productivity software (Microsoft Office/Google Workspace) and comfortable learning new internal systems or databases.

  • Proactivity: A "get-it-done" attitude. You anticipate the needs of the team before being asked and take ownership of your tasks.

  • Attributes: High attention to detail, a passion for event management, and the ability to maintain composure during the high-pressure environment of event execution.
