Job Description:
We are seeking a high-caliber, proactive Executive Assistant (EA) to provide mission-critical support to the Managing Director. In this high-visibility role based in Ikeja, you will act as the MD’s primary gatekeeper, strategic liaison, and operational backbone.
You will manage complex calendars, prioritize sensitive communications, and ensure that the MD’s office operates with peak efficiency. Requirements:
1. Strategic Calendar & Time Architecture
Calendar Management: Mastermind a complex executive calendar, balancing internal meetings, external engagements, and strategic "deep work" time.
Prioritization: Act as the primary filter for the MD’s time, ensuring that only high-priority issues reach their desk while redirecting other inquiries to the appropriate departments.
Travel & Logistics: Coordinate end-to-end travel itineraries, including flights, accommodation, and local transport, ensuring the MD is prepared for every engagement.
2. High-Level Communication & Liaison
Executive Correspondence: Draft, proofread, and manage professional emails, reports, and memos on behalf of the MD with extreme attention to detail.
Stakeholder Management: Serve as a professional first point of contact for board members, clients, and senior government officials.
Meeting Governance: Attend high-level meetings to take accurate minutes, track action items, and follow up with department heads to ensure completion.
3. Operational Support & Research
Data Synthesis: Conduct market research or internal data collection to prepare the MD for meetings, speeches, or board presentations.
Project Tracking: Monitor the progress of special projects initiated by the MD’s office, providing regular status updates and flagging potential delays.
Digital Proficiency: Leverage the full Microsoft Office Suite to create sophisticated presentations and manage executive data securely.
Qualifications and Skills:
Professional Profile
Education: B.Sc. or HND in any discipline.
Experience: Minimum of 3 years of proven experience in an executive support or high-level administrative role.
Tech IQ: Must be highly computer literate, with advanced skills in Excel, PowerPoint, and Outlook.
Certifications: Professional certification (e.g., CIPM, PMP, or IAAP) is a significant advantage.
Core Competencies
Communication: Exceptional written and oral skills; the ability to articulate complex ideas clearly and professionally.
Discretion: Absolute integrity and the ability to handle highly confidential information with total secrecy.
Interpersonal Savvy: Strong relationship-building skills to navigate diverse corporate personalities.
