Job Description:
We are seeking a highly organized and professional Admin / Secretary to serve as the operational heartbeat of our Port Harcourt office. In a fast-paced business environment, the Secretary is the primary guardian of workflow, ensuring that communication is seamless and documentation is bulletproof.
Your mission is to manage the daily administrative lifecycle—from high-priority correspondence and complex scheduling to the meticulous maintenance of departmental records. You will act as the face of the department, managing visitor traffic and telecommunications with diplomacy and poise. If you have 3+ years of experience, advanced proficiency in Microsoft Office, and a "zero-failure" approach to deadlines, we invite you to anchor our administrative team.
Requirements:
1. Documentation & Correspondence Governance
Technical Drafting: Produce high-quality memos, reports, and routine forms, ensuring all outgoing communication reflects the company’s professional standards.
Workload Architecture: Organize and prioritize tasks to ensure 100% compliance with deadlines and departmental priorities.
Information Integrity: Post information to official logs and prepare ad-hoc reports as directed by the supervisor, ensuring data accuracy and clarity.
2. Record Keeping & Resource Management
Systematic Filing: Maintain complex departmental filing systems, including sensitive records related to personnel, payroll, attendance, and purchase orders.
Resource Stewardship: Monitor office supplies and proactively order replacements to ensure uninterrupted office operations.
Equipment Oversight: Utilize and maintain office hardware, including printers, copiers, and scanners, to support efficient document production.
3. Front-Office Diplomacy & Liaison
Inquiry Management: Receive and screen visitors and telephone calls, acting as a knowledgeable resource for general inquiries regarding department policies and procedures.
Strategic Scheduling: Manage executive calendars and schedule appointments to optimize time management for the leadership team.
Liaison Excellence: Serve as a professional bridge for administrative matters, communicating effectively with both internal teams and external stakeholders.
Qualifications and Skills:
Professional Profile
Education: B.Sc / HND or equivalent qualification.
Experience: Minimum 3 years of experience within a professional office setting.
Tech IQ: Advanced literacy in Microsoft Software Programs (Word, Excel, Outlook) and proficiency in managing databases.
Core Competencies
Communication: Exceptional written and verbal skills with a high degree of interpersonal tact.
Organizational Prowess: Ability to manage departmental records (personnel, payroll, work orders) with surgical precision.
