Job Description:
We are seeking a high-functioning Personal Assistant to serve as the primary operational support for our Managing Director and Executive Team. This is a role for a "Force Multiplier"—someone who can anticipate needs, streamline complex schedules, and protect the executive's time with surgical precision.
Your mission is to act as the central nervous system of the executive office. You will manage high-stakes communication, coordinate intricate logistics, and ensure that the MD is prepared for every engagement, from client pitches to internal strategy sessions. If you have 2–4 years of experience in executive support and possess an uncompromising sense of discretion and professional polish, we invite you to lead our administrative operations.
Requirements:
1. Executive Gatekeeping & Calendar Architecture
Dynamic Scheduling: Own the executive calendar, prioritizing high-impact meetings and project engagements while mitigating scheduling conflicts.
Communication Management: Act as the first point of contact for the MD, filtering incoming calls, emails, and correspondence to ensure only high-priority items reach the executive desk.
Meeting Orchestration: Coordinate client meetings and stakeholder engagements, ensuring all briefing materials, reports, and presentations are finalized and delivered ahead of time.
2. Operational Logistics & Project Tracking
Travel & Logistics: End-to-end management of complex travel itineraries, including international/local flights, accommodation, and ground transportation logistics.
Project Monitoring: Track critical project deadlines and follow up on pending tasks across internal teams to ensure the MD’s strategic objectives are met.
Meeting Intelligence: Attend key meetings to capture minutes, document action items, and drive follow-up activities to completion.
3. Administrative Governance & Liaison
Information Security: Handle highly confidential documents and sensitive business information with absolute integrity and discretion.
Liaison Excellence: Serve as a professional bridge between the MD and external stakeholders (clients, contractors, and suppliers) as well as internal departments.
Procurement Support: Assist with basic vendor coordination and procurement tasks, ensuring the executive office is equipped with necessary resources.
Qualifications and Skills:
Professional Profile
Education: Bachelor’s degree in Business Administration, Management, or a related field.
Experience: 2–4 years of proven experience as a Personal Assistant or Executive Assistant to C-Suite leadership.
Tech IQ: High proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and modern scheduling tools.
