Job Description:

We are seeking a seasoned and highly organized Secretary to serve as the central administrative pillar of our organization. This is not just a clerical role; we are looking for a professional with at least 5 years of experience who can manage the heartbeat of the office with precision, discretion, and a high degree of autonomy.

Your mission is to ensure that communication is seamless, schedules are optimized, and the office environment remains a model of efficiency. You will act as the primary interface between the organization and its stakeholders, handling everything from complex calendar management to the safeguarding of confidential data. Requirements:

1. Communication & Correspondence Governance

  • Inbound/Outbound Management: Serve as the primary filter for all office correspondence (emails, calls, and letters), ensuring that high-priority matters are escalated and routine inquiries are handled promptly.

  • Professional Documentation: Draft and proofread high-quality reports, internal memos, and official business documents that reflect the organization's standards.

  • Visitor Relations: Act as the face of the office, receiving visitors and directing them with the courtesy and professionalism required for a high-level corporate environment.

2. Executive Support & Logistics

  • Calendar Strategy: Manage complex schedules and appointment calendars, ensuring that meetings are coordinated without conflicts and that all parties are properly briefed.

  • Information Architecture: Establish and maintain a "gold-standard" filing system—both physical and electronic—to ensure that critical information is retrievable within seconds.

  • Discretion & Confidentiality: Handle sensitive and confidential information with absolute integrity, serving as a trusted repository for the organization’s private data.

3. Operational Efficiency

  • Meeting Coordination: Organize meetings and briefings, ensuring that agendas are set and minutes are accurately recorded and distributed.

  • Time Management: Utilize advanced organizational skills to stay ahead of deadlines and manage competing administrative priorities.

Qualifications and Skills:

Professional Profile

  • Education: OND / HND / B.Sc in Business Administration or a related field.

  • Experience: A minimum of 5 years of proven experience in a secretarial or high-level administrative role.

  • Tech IQ: High proficiency in Microsoft Office (Word, Excel, Outlook); ability to leverage technology to automate routine office tasks.
