Job Description:

Our client, a high-growth leader in the FMCG sector, is seeking an exceptionally organized and proactive Executive Assistant to provide elite-level support to the senior leadership team. In a fast-moving manufacturing and consumer goods environment, the EA is the operational engine that ensures executive decisions are translated into action.

Your mission is to serve as a high-level liaison, protecting the executive’s time through masterful calendar architecture, strategic communication filtering, and flawless event coordination. Requirements:

1. Executive Calendar & Travel Architecture

  • Time Management: Design and maintain complex executive calendars, ensuring a perfect balance between internal operations, stakeholder meetings, and strategic planning.

  • Global Logistics: Coordinate comprehensive travel itineraries, including flights, visa requirements, and ground transportation, ensuring the executive is prepared for all off-site engagements.

  • Meeting Governance: Orchestrate high-level meetings by preparing detailed agendas, capturing accurate minutes, and aggressively tracking post-meeting action items to completion.

2. Communication & Information Flow

  • Strategic Filtering: Screen and prioritize incoming calls, emails, and requests, responding on behalf of the executive where appropriate to ensure rapid turnaround.

  • Content Production: Draft sophisticated correspondence, technical reports, and high-impact PowerPoint presentations for board-level reviews.

  • Filing & Retrieval: Maintain a "five-second retrieval" filing system for both digital and physical records, ensuring sensitive data is secured yet accessible.

3. Operational & Event Support

  • Workflow Optimization: Anticipate executive needs and streamline daily administrative tasks to maintain a frictionless workflow.

  • Event Management: Lead the planning and execution of executive visits, corporate retreats, and high-stakes meetings.

  • Deadline Tracking: Act as the "internal monitor" for management commitments, ensuring all deliverables from various departments are received on schedule.

Qualifications and Skills:

Professional Profile

  • Education: Bachelor’s Degree or HND in Business Administration, Secretarial Studies, or a related field.

  • Experience: Minimum of 5 years of progressive experience as an Executive Assistant to senior leadership.

  • Industry IQ: Experience within a corporate or manufacturing (FMCG) environment is highly preferred.

Core Competencies

  • Technical IQ: Advanced proficiency in MS Office (Word, Excel, PowerPoint, Outlook).

  • Integrity: A proven track record of handling highly sensitive and confidential information with absolute discretion.
