Job Description:
Victoria Water Services Ltd. is seeking a sophisticated, detail-oriented, and strategic Personal Assistant (PA) to provide comprehensive executive support to the Chief Executive Officer. This is not merely an administrative role; you will serve as the CEO’s primary gatekeeper, a strategic conduit to the Board of Directors, and a critical manager of executive priorities. Operating at the highest levels of corporate diplomacy, you will navigate complex schedules, sensitive information, and high-pressure deadlines with absolute discretion. Requirements:
1. Executive Gatekeeping & Calendar Diplomacy
Strategic Coordination: Manage a high-density executive calendar, prioritizing meetings and engagements based on the CEO’s strategic goals and corporate cycles.
Communication Management: Screen and prioritize all incoming calls, emails, and correspondence, drafting professional responses and escalating critical matters immediately.
Travel & Logistics: End-to-end coordination of complex travel itineraries, official engagements, and site visits, ensuring the CEO is fully briefed and prepared for every encounter.
2. Governance & Board Liaison
Board Support: Coordinate Board and Executive Management meetings, including the meticulous preparation of agendas, briefing packs, and official minutes.
Action Tracking: Actively track commitments and deliverables arising from meetings, ensuring senior management meets all deadlines set by the CEO.
Stakeholder Relations: Serve as a professional liaison between the CEO’s office and external partners, government agencies, and key clients in the water services sector.
3. Strategic Support & Project Oversight
Intelligence & Reporting: Prepare high-level presentations, executive reports, and briefing materials that distill complex data into actionable insights for the CEO.
Confidentiality: Manage sensitive corporate documents and personnel information with a zero-breach policy on discretion and integrity.
Workflow Optimization: Continually assess office workflows within the CEO’s suite and recommend process improvements to enhance executive efficiency.
Qualifications and Skills:
Education & Experience
Academic Background: Bachelor’s degree in Business Administration, Management, Public Administration, or a related field.
Proven Tenure: Minimum of 5–7 years’ experience specifically as a Personal or Executive Assistant supporting C-Suite executives.
Certification: Professional certification in Administrative Management (e.g., CAP or CEAP) is a distinct advantage.
Core Competencies
Technical Mastery: Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and digital collaboration tools (Teams, Slack, CRM).
Communication: Exceptional written and verbal communication skills with the ability to represent the CEO’s voice with precision.
Resilience: Proven ability to work independently, exercise sound judgment, and maintain composure under extreme pressure.
