Job Description:

We are seeking a highly disciplined and proactive Administrative & Operations Officer to serve as the operational backbone of our organization. This role is designed for a leader who can seamlessly blend high-level administrative oversight with daily operational execution. You will be responsible for ensuring that workflows are efficient, staff are disciplined, and company assets are meticulously managed. If you are a detail-oriented professional with a "get-it-done" mindset and the ability to maintain order in a fast-paced environment, you are the ideal candidate for this position.

Requirements:

1. Operational Coordination & Workflow Management

  • Strategic Oversight: Plan, coordinate, and monitor daily operations to ensure all departments are functioning at peak productivity.

  • Process Enforcement: Implement and monitor Standard Operating Procedures (SOPs) to guarantee consistent quality and safety across all administrative activities.

  • Problem Solving: Act as the primary resolver for operational bottlenecks, using strong conflict-resolution skills to maintain a harmonious and efficient workplace.

2. Staff Supervision & HR Support

  • Leadership & Discipline: Supervise junior staff, enforce workplace discipline, and mentor the team to ensure adherence to company policies.

  • Human Resources Liaison: Support the HR department by monitoring staff attendance, managing leave schedules, and ensuring compliance with labor-related internal policies.

  • Safety Advocacy: Ensure all employees adhere to company safety standards and health protocols within the workspace.

3. Asset Management & Office Governance

  • Resource Oversight: Manage office supplies, correspondence, and high-value company assets, ensuring zero wastage and optimal resource allocation.

  • Records Integrity: Maintain an impeccable system for physical and digital records management to ensure quick retrieval and audit readiness.

  • Reporting: Prepare detailed operational and administrative reports for senior management, providing data-driven insights into office performance.

Qualifications and Skills:

Technical & Professional Skills

  • Software Mastery: High proficiency in Microsoft Office Suite (Excel, Word, PowerPoint). Experience with HRIS or Inventory Management systems is a significant advantage.

  • Leadership Prowess: Proven ability to manage teams, resolve conflicts, and drive organizational change.

  • Analytical Ability: Strong organizational and time-management skills with a sharp eye for detail.
