Job Description:

We are seeking a detail-oriented and hospitable Admin Assistant to serve as the operational hub of our Ikeja location. In this role, you are more than just a support staff member; you are the gatekeeper of the guest experience and the architect of our office organization.

Your mission is to ensure that information flows seamlessly between our guests, our database, and our management team. You will balance technical tasks—such as maintaining complex filing systems and generating reports—with the "soft" skills required to welcome guests with genuine appreciation. Requirements:

1. Information Management & Digital Records

  • Database Stewardship: Enter and retrieve data with precision to update reservations, guest files, and records using specialized computer databases and Point of Sale (POS) systems.

  • Document Architecture: Prepare professional letters, memos, and presentations using the Microsoft Office Suite (Word, Excel, PowerPoint) to ensure all internal and external communication meets company standards.

  • System Integrity: Create and maintain both digital and paper-based filing systems, ensuring that records of office activities and business transactions are retrievable and audit-ready.

2. Guest Relations & Professional Etiquette

  • Service Excellence: Act as the first point of contact, welcoming guests with genuine appreciation, anticipating their needs, and providing dedicated assistance to individuals with disabilities.

  • Communication Mastery: Answer telephones with appropriate etiquette and speak with others using clear, professional language to resolve inquiries and represent the brand.

  • Confidentiality: Maintain the highest standards of discretion regarding proprietary information and protect all company assets.

3. Office Operations & Logistics

  • Mail & Distribution: Oversee the lifecycle of incoming and outgoing mail, including date-stamping and strategic distribution to relevant departments.

  • Infrastructure Support: Operate and maintain standard office equipment (printers, facsimiles, scanners) and ensure the office environment is organized and professional.

  • Collaborative Support: Work closely with the team to reach common goals, supporting supervisors with special projects and maintaining positive workplace relationships.

Qualifications and Skills:

Technical Profile

  • Tools: Proficiency in Word, Excel, and Presentation software.

  • Systems: Ability to navigate computerized databases and Point of Sale (POS) environments.

  • Documentation: Strong skills in compiling, copying, and sorting complex business records.
