Job Description:

We are seeking a highly organized and proactive Personal Assistant to serve as the primary point of coordination for our management. This role is designed for a professional who acts as a "strategic gatekeeper," managing the complex intersection of internal operations and external client relations.

You will be responsible for streamlining the manager's daily workflow—from sophisticated diary management and travel logistics to the production of executive briefs and reports. If you are an expert multitasker with an "eagle eye" for detail and a mastery of modern office technology, we want you to be the driving force behind our executive’s efficiency.

Requirements:

1. Executive Gatekeeping & Communication

  • Primary Liaison: Act as the first point of contact between the manager and all internal/external stakeholders, ensuring every interaction is professional and aligned with company values.

  • Information Flow: Screen and direct phone calls, distribute correspondence, and handle queries with the appropriate level of urgency and discretion.

  • Meeting Governance: Take accurate dictation and minutes during high-level meetings, ensuring that action items are captured and tracked.

2. Workflow Architecture & Logistics

  • Diary Mastery: Proactively manage schedules, appointments, and meetings to ensure the manager’s time is optimized for high-value tasks.

  • Travel Coordination: Arrange end-to-end travel logistics, including flights, accommodation, and itineraries, ensuring a frictionless experience.

  • Resource Management: Source office supplies and maintain a state-of-the-art office filing system (digital and physical) for rapid information retrieval.

3. Strategic Support & Reporting

  • Briefing & Presentation: Produce high-quality reports, presentations, and briefs that translate complex ideas into clear, actionable executive summaries.

  • Technical Integration: Stay up-to-date with the latest office gadgets, AI tools, and productivity applications to enhance office management procedures.

  • Prioritization: Independently manage a heavy daily workload, identifying critical path tasks and escalating issues only when necessary.

Qualifications and Skills:

Professional Profile

  • Experience: Proven work experience as a Personal Assistant or Executive Assistant.

  • Technical Skills: Proficiency in MS Office Suite (Word, Excel, PowerPoint) and a high level of comfort with digital productivity tools.

  • Communication: Exceptional verbal and written English skills with a polished, professional tone.
