Job Description:
We are seeking a high-caliber, proactive Executive Assistant (EA) to act as the primary strategic partner to the General Manager. In this role, you will do more than manage a calendar; you will be the "engine room" of the executive office, ensuring operational excellence and seamless communication across our power solutions business.
This position is designed for a structured professional who can anticipate needs, manage high-stakes priorities, and handle sensitive information with absolute discretion. Requirements:
1. Executive Coordination & Workflow Management
Calendar Architecture: Manage a complex, high-volume calendar, prioritizing meetings and engagements that align with the GM's strategic objectives.
Strategic Communication: Act as the primary liaison for internal and external stakeholders, ensuring that the GM’s voice is represented with professionalism and clarity.
Travel & Logistics: Coordinate intricate domestic and international travel itineraries, ensuring all logistics are optimized for executive productivity.
2. Operational Support & Project Tracking
Project Oversight: Track key organizational projects and follow up on action items to ensure deadlines are met across various departments.
Reporting & Documentation: Prepare high-impact presentations, board reports, and executive summaries that translate complex operational data into clear insights.
Meeting Governance: Organize executive meetings, draft agendas, and record minutes, ensuring that all follow-up actions are tracked to completion.
3. Discretion & Professional Stewardship
Confidentiality: Manage sensitive information regarding business strategy, personnel, and financial performance with an ironclad commitment to discretion.
Problem Solving: Act as a "buffer" and filter for the GM, resolving minor operational issues independently and escalating only high-priority matters.
Professional Presence: Represent the Office of the General Manager with a high level of poise, especially when interacting with clients, vendors, and senior leadership.
Qualifications and Skills:
Professional Profile
Experience: Minimum of 3 years of experience in a similar EA role supporting C-suite or Senior Management.
Industry Context: Experience in Power Solutions, Engineering, or a technical sector is a significant advantage.
Education: Strong academic background (Bachelor’s degree preferred).
Core Competencies
Organizational Mastery: Exceptional ability to manage multiple competing priorities under pressure.
Communication: Elite verbal and written communication skills with a focus on "executive-level" tone.
Technical Savvy: Advanced proficiency in Microsoft Office Suite (especially PowerPoint and Excel) and project management tools.
