Job Description:

1. Operational & Digital Management

  • Workflow Automation: Utilize AI and modern automation tools (e.g., Zapier, AI assistants, or Trello) to optimize office systems and improve daily efficiency.

  • Infrastructure: Manage daily office operations, including inventory tracking, office supply procurement, and digital filing systems.

  • Vendor Relations: Negotiate with suppliers and service providers to ensure cost-effective and high-quality office maintenance.

2. Executive Support & HR Coordination

  • Scheduling: Act as the primary coordinator for executive calendars, travel logistics, and high-priority meetings.

  • HR Assistance: Support the HR department with new hire onboarding, staff engagement initiatives, and monthly payroll assistance.

  • Confidentiality: Handle sensitive financial records and personnel data with absolute discretion and integrity.

3. Growth, Retention & Basic Finance

  • Customer Retention: Use persuasive communication and sales skills to engage clients and ensure long-term brand loyalty.

  • Bookkeeping: Maintain accurate records of basic financial transactions and office expenditures.

  • Staff Engagement: Assist in fostering a positive work culture through organized team-building activities and proactive communication.

Requirements:

Qualifications and Skills:

  • Education: Bachelor’s degree in Business Administration or a related field.

  • Experience: Minimum of 1+ years in a structured administrative or operations role.

  • Tech Stack: High proficiency in MS Office Suite (Word, Excel, PowerPoint) and a high comfort level with AI tools/Automation.
