Field Logistics & Administration Assistant | Pulka, Borno State

Job Summary [Organization Name/NCA] is seeking a highly organized and reliable Field Logistics and Administration Assistant to manage our office and guest house facilities in Pulka. You will be the focal point for all field-level support services, ensuring a clean, safe, and fully operational environment for our humanitarian staff and visitors. This role requires a proactive individual capable of supervising casual staff, managing local procurement, and maintaining rigorous logs for vehicles and assets, all while ensuring 100% compliance with NCA safety and administrative policies.


Areas of Responsibility

1. Facility & Guest House Management

  • Upkeep: Oversee the daily maintenance, cleanliness, and general repairs of the office and guest house (furniture, fixtures, and appliances).

  • Utility Oversight: Ensure all utilities are functioning optimally, specifically managing generator operations, fuel consumption, and water supply.

  • Accommodation Liaison: Coordinate with the Maiduguri HR/Admin team to manage bookings and accommodation for arriving/departing staff, international visitors, and guests at humanitarian hubs.

2. Supply Chain & Local Procurement

  • Inventory Control: Monitor and restock essential supplies including stationery, cooking gas, drinking water, toiletries, and linens.

  • Field Procurement: Execute small-scale local purchases in strict accordance with NCA approval schemes and procurement procedures.

  • Delivery Coordination: Liaise with the Logistics and Program departments to receive and verify goods destined for the field office or project activities.

3. Financial & Fleet Administration

  • Cash Management: Oversee the issuance, documentation, and reconciliation of cash advances, ensuring timely liquidation to the Finance department.

  • Fleet Support: Administer vehicle logs, ensuring drivers maintain accurate records for payment requests to vehicle hire companies.

  • Asset Tracking: Maintain detailed and updated records of all field assets and inventory items planned for project distribution.

4. Human Resources & Supervision

  • Casual Staff Management: Supervise, train, and monitor the performance of cleaners, cooks, and security guards to ensure tasks are completed effectively.

  • HR Support: Act as the field link for HR, collecting and forwarding volunteer timesheets and other HR-related documents to the Maiduguri head office.


Compliance, Safety & Security

  • Policy Adherence: Ensure all guest house and office operations align with NCA Standard Operating Procedures (SOPs).

  • Security Vigilance: Promptly report any security breaches or concerns to the Senior Safety and Security Officer to protect staff and assets.

  • Safety Standards: Regularly inspect the premises to address safety hazards and ensure a secure working environment in the Pulka field office.

Requirements:

  • Technical Skills: Proficiency in Microsoft Excel for inventory and cash tracking; ability to maintain meticulous physical and digital archives.

  • Attributes: High level of integrity, ability to work under pressure in remote field locations, and strong interpersonal skills for managing casual labor.

Qualifications and Skills:

  • Education: Bachelor’s degree or Higher National Diploma in Business Administration, Logistics, or a related field.

  • Experience: Previous experience in office/guest house management or logistics, preferably within the NGO sector in Northeast Nigeria.
