Job Description:
We are seeking a highly organized and discreet Secretary to serve as the administrative anchor for the Director of Education. In an educational leadership context, this role is more than clerical—it is about ensuring the smooth execution of academic and operational strategies across the Directorate.
You will act as the primary liaison between the Director and school heads, staff, and external stakeholders, managing a high volume of sensitive information with absolute professionalism. If you are a proactive administrator who can translate complex meeting discussions into actionable minutes and maintain flawless organizational systems, we want you to support our educational mission.
Requirements:
1. Executive Governance & Meeting Management
Calendar Strategy: Proactively manage the Director’s schedule, ensuring a balance between strategic planning, school visits, and stakeholder meetings.
Secretariat Excellence: Lead the end-to-end meeting process—from agenda setting and briefing document preparation to the capture of high-accuracy minutes.
Action Tracking: Monitor and follow up on post-meeting action points to ensure the Director's directives are being implemented across departments.
2. Communication & Stakeholder Liaison
Directorate Gateway: Serve as the professional face and voice of the Director's office, managing incoming visitors, high-level correspondence, and official engagements.
Institutional Coordination: Act as a central communication hub, filtering and escalating inquiries from school heads, parents, and regulatory bodies as needed.
Information Security: Maintain the highest standards of confidentiality regarding student data, staff records, and strategic academic reports.
3. Documentation & Data Collation
Reporting Architecture: Collate academic performance and operational data from various schools to assist the Director in preparing briefing documents and presentations.
Filing Systems: Maintain a sophisticated, audit-ready filing system (both physical and digital) that ensures the rapid retrieval of sensitive academic and legal documents.
Office Operations: Oversee the daily logistics of the Director’s office, ensuring all equipment, travel arrangements, and event planning are executed flawlessly.
Qualifications and Skills:
Professional Profile
Education: Bachelor’s Degree in Administration, Education, or a related field.
Experience: 3–5 years of executive administrative experience (Strong preference for candidates with a background in Educational Institutions).
Technical Mastery: Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
Core Competencies
Communication: Exceptional written and verbal skills; ability to draft formal memos and academic reports with precision.
Emotional Intelligence: Ability to handle sensitive interpersonal dynamics between parents, staff, and school leadership with grace.
