Job Description:
We are seeking a high-caliber Executive Assistant to act as the strategic right hand to the Director. This role goes beyond traditional administrative support; you will be the engine of operational efficiency, ensuring that the Director’s time is optimized for leadership and high-value client engagements.
As the primary bridge between the executive office and its stakeholders, you must possess the technical proficiency to manage complex MIS (Management Information Systems) data in Excel, the poise to handle confidential information, and the initiative to track projects to completion. Requirements:
1. Executive Orchestration & Priority Management
Calendar Architecture: Manage complex executive calendars, ensuring a strategic balance between internal meetings, leadership activities, and client-facing engagements.
Global Mobility: Coordinate end-to-end domestic and international travel logistics, providing comprehensive itineraries and briefing packs.
The "Gatekeeper" Function: Serve as the first point of contact for internal and external stakeholders, filtering inquiries to protect the Director’s focus.
2. Documentation, MIS & Business Reporting
Analytical Support: Utilize Advanced Excel (MIS) to prepare data-driven reports, tracking project progress and operational performance.
Briefing & Presentations: Draft high-level correspondence, board-room-ready presentations, and briefing documents that prepare the Director for every engagement.
Secretariat Excellence: Coordinate leadership meetings, ensuring accurate minute-taking and a rigorous follow-up system for all action items.
3. Operational Continuity & Task Coordination
Project Tracking: Support the Director by monitoring task deadlines across various departments, ensuring the leadership team meets its strategic commitments.
Stakeholder Relations: Facilitate seamless communication between the Director and key clients, vendors, and consultants.
Confidentiality: Maintain absolute discretion and professional integrity when handling sensitive organizational and client data.
Qualifications and Skills:
Professional Profile
Education: Bachelor’s Degree in Business Administration, Management, or a related field.
Experience: 3–5 years of experience specifically supporting C-suite executives or Directors.
Sector Context: Experience in Professional Services, Consulting, or a Corporate environment is a significant advantage.
Technical Competencies
Data Mastery: Proficiency in Excel (MIS) for reporting, alongside Google Workspace and Microsoft Teams.
Communication: Exceptional verbal and written command of English, with the ability to draft executive-level memos.
Organizational Grit: A proven ability to prioritize conflicting needs and manage high-pressure deadlines independently.
