Job Description:
We are seeking a highly organized, discreet, and proactive Personal Assistant to provide comprehensive administrative and executive support. You will act as the right hand to our leadership, managing complex schedules, high-level communications, and confidential projects. This role requires a professional who is an expert at managing time, anticipating needs, and maintaining composure in a fast-paced environment.
Requirements:
Executive Support: Manage and optimize the executive’s calendar, ensuring appointments, travel, and logistics are handled with precision.
Communication Hub: Act as the primary gatekeeper for phone calls, emails, and correspondence. You will be expected to represent the executive’s voice professionally and handle sensitive information with absolute discretion.
Documentation & Reporting: Prepare high-quality presentations, reports, and official documents. Attend key meetings to take minutes and track follow-up action items to completion.
Administrative Management: Maintain organized confidential filing systems and handle personal errands or special projects as assigned.
Stakeholder Liaison: Serve as a professional interface between the executive and internal departments, high-profile clients, and external stakeholders.
Deadline Management: Proactively monitor critical dates and reminders, ensuring that the executive is always prepared for upcoming commitments.
Qualifications and Skills:
Education: Bachelor’s degree in Business Administration, Management, or a related field.
Experience: 3–5 years of proven experience as a Personal Assistant or Executive Assistant.
Technical Proficiency: Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Key Competencies:
Exceptional organizational, multitasking, and time-management skills.
Ability to remain calm and efficient under pressure.
Impeccable written and verbal communication skills.
Uncompromising integrity, discretion, and professional maturity.
Advantageous: Prior experience managing complex international travel itineraries and high-stakes meeting coordination.
