Job Description:
1. Strategic Calendar & Communication Management
Active Gatekeeping: Professionally manage high volumes of phone calls, messages, and emails, prioritizing urgent matters and responding on behalf of the Executive when appropriate.
Precision Scheduling: Coordinate a complex calendar of appointments and reminders, ensuring zero overlaps and building in necessary "buffer" time for transitions.
Meeting Readiness: Organize meetings, prepare agendas/documents in advance, and take concise minutes to ensure follow-up actions are clear.
2. Logistics, Travel & Errand Management
End-to-End Travel: Handle comprehensive travel arrangements, including visas, flights, accommodation, and detailed ground logistics (itineraries).
Versatile Support: Run essential personal and office errands, ensuring that the Executive’s professional and personal environments run seamlessly.
Project Follow-up: Track pending tasks across various departments or personal projects, ensuring all deadlines are met without needing reminders.
3. Information & Confidentiality
Record Keeping: Maintain a highly organized digital and physical filing system for confidential information.
Discretion: Handle sensitive business and personal data with the highest level of integrity and non-disclosure.
Requirements:
The "Think Ahead" Mindset: You naturally anticipate needs (e.g., booking a lunch table before being asked or preparing a briefing note for a meeting you saw on the calendar).
Articulation: Exceptional verbal and written communication skills with a professional telephone manner.
Reliability: A "finisher" who ensures every task—no matter how small—is closed out successfully.
Qualifications and Skills:
Experience: Proven experience as an Executive Assistant, Personal Assistant, or in a high-level administrative role.
Tech-Savvy: Proficiency in Google Workspace/Microsoft 365, scheduling tools, and travel booking platforms.
Organization: Ability to manage multiple moving parts in a fast-paced, high-pressure environment.
