Job Description:
We are looking for a highly organized and multi-talented Front Desk Officer & Administrative Coordinator to serve as the operational anchor of our Lagos office. This is a hybrid role that combines professional reception management with complex administrative logistics, facility oversight, and executive support for the Managing Director. You will be responsible for the seamless running of our front-office "First Impression," while simultaneously coordinating property maintenance, fleet logistics, and procurement for both our main office and affiliated entities. The ideal candidate is a proactive professional who thrives in high-demand environments and can manage diverse stakeholders with discretion and excellence.
Requirements:
1. Front Office & Reception Excellence
Reception Leadership: Manage the front desk as a professional, welcoming hub; ensure all visitors are vetted, recorded, and announced according to access control protocols.
Information Gateway: Act as the primary filter for phone calls and emails, providing accurate information and resolving scheduling conflicts for meeting rooms.
Aesthetic Standards: Maintain a pristine, presentable reception area, ensuring all necessary materials and branded collateral are available.
2. Facility, Property & Utilities Management
Technical Supervision: Oversee routine maintenance and repairs for office equipment, facilities, and generators (liaising with providers like MIKANO).
Property Coordination: Develop and implement preventive maintenance schedules (AC, plumbing, electrical) for company-owned and leased residences, warehouses, and guest houses in Lagos.
Utilities & Security: Ensure 100% uptime for electricity, internet, and DSTV through prompt renewals; serve as the focal point for security guards, managing their schedules and performance.
Certification: Conduct routine inspections of all premises and issue Job Completion Certificates to vendors upon successful task delivery.
3. Fleet & Travel Logistics
Fleet Maintenance: Coordinate the pre-mobilization, regular servicing, and inspection of the company vehicle fleet to ensure safety and zero downtime.
Document Compliance: Manage the timely renewal of vehicle registrations, insurance, and driver licenses.
Travel Management: Verify itineraries and book cost-effective flights and hotel accommodations for staff and guests; manage travel agent invoices and payments.
4. Finance, Procurement & Inventory
Petty Cash: Manage and reconcile petty cash transactions with 100% accuracy in record-keeping.
Smart Procurement: Handle requests for office items, sourcing cost-effective vendors while maintaining high-quality standards.
Asset Tracking: Implement and manage the numbering/tagging of all company assets under HR/Admin, maintaining an error-free digital inventory.
5. Executive & Staff Support
MD Support: Provide high-level administrative assistance to the Managing Director, handling confidential documents and sensitive scheduling.
Staff Resources: Manage the provision of uniforms, ID cards, and company phones for new and existing staff to ensure they are fully equipped.
Qualifications and Skills:
Education & Experience
Degree: Bachelor’s Degree in Business Administration, Management, or a related field.
Experience: 3–5 years of proven experience, preferably supporting C-level executives in the Energy, Oil & Gas, or Engineering sectors.
Advantage: Prior experience liaising with Nigerian regulatory bodies.
Technical & Professional Skills
Software Mastery: Proficiency in Microsoft Office Suite and digital collaboration tools (Teams, Zoom).
Project Tools: Familiarity with project management platforms like Slack, ClickUp, or Zoho.
QHSE Mindset: Deep commitment to Quality, Health, Safety, and Environment standards, including participation in Unsafe Act/Unsafe Condition (UAUC) reporting.
Core Competencies
Discretion: High level of professionalism and the ability to handle confidential data (NDPR compliant).
Resilience: Ability to manage multiple priorities under pressure without sacrificing attention to detail.
