Job Description:
We are seeking a highly sophisticated and proactive Executive Assistant (EA) to provide high-level administrative, operational, and strategic support to the Director. This is not a clerical role; it is a critical partnership. The EA acts as the Director’s primary liaison and gatekeeper, ensuring their time is optimized, their priorities are executed, and the Executive Office operates with flawless efficiency. The ideal candidate possesses the emotional intelligence to navigate complex stakeholder relationships and the technical rigor to manage projects, budgets, and executive-level communications with absolute confidentiality.
Requirements:
1. Executive Workflow & Strategic Support
Precision Scheduling: Manage an intricate calendar, ensuring the Director is briefed, prepared, and punctual for all appointments and international travel.
Strategic Follow-up: Track, prioritize, and relentlessly follow up on pending actions, deadlines, and deliverables to ensure no strategic objective is missed.
Briefing & Research: Conduct research and compile data to prepare executive dashboards, summaries, and briefing notes that support critical decision-making.
2. Communication & Stakeholder Liaison
Primary Point of Contact: Act as the professional face of the Director’s office for all internal and external stakeholders.
Correspondence & Speechwriting: Draft, review, and edit high-impact correspondence, memos, speeches, and presentations on behalf of the Director.
Information Flow: Coordinate the timely dissemination of accurate information, ensuring the Director’s priorities are communicated clearly across the organization.
3. Operational Leadership & Project Coordination
Meeting Management: Plan and organize executive board meetings, retreats, and stakeholder engagements—including recording minutes and tracking post-meeting action points.
Office Governance: Oversee the smooth operation of the Executive Office, managing budgets relating to travel and office expenditures.
Project Monitoring: Assist in monitoring Key Performance Indicators (KPIs) and the progress of special projects or strategic initiatives.
Qualifications and Skills:
Education & Experience
Degree: Bachelor’s degree in Business Administration, Management, Social Sciences, or a related field.
History: 5–8 years of relevant experience supporting C-Suite executives or senior management.
Gender Balance: A male candidate is preferred for this role to maintain gender balance within the current executive team.
Technical & Professional Skills
Digital Mastery: Excellent proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and digital tools (Project management apps, CRM, Scheduling tools).
Communication: Exceptional written and verbal communication skills; ability to produce executive-level reports.
Soft Skills: High emotional intelligence, sound judgment, and the ability to work with minimal supervision in a fast-paced environment.
Key Competencies
Confidentiality: Absolute discretion in handling sensitive and high-stakes information.
Proactivity: Ability to think steps ahead of the Director to mitigate risks and capitalize on opportunities.
