Job Description:
We are seeking an energetic, highly organized, and proactive Administrative Officer to manage our corporate facility and anchor daily office operations at our Opebi headquarters. In this central role, you will be the operational engine that keeps our business environment organized, secure, and fully equipped.
This position demands a practical, hands-on coordinator who can manage office logistics, oversee routine facility maintenance, audit vendor deliveries, and monitor operational expenses. You will bridge the gap between back-office record keeping and active front-line coordination, maintaining an immaculate and professional corporate workspace.
Requirements:
1. Facility Coordination & Workspace Management
Daily Office Stewardship: Oversee the day-to-day administrative operations of the Opebi corporate facility, ensuring the office structure remains welcoming, safe, clean, and highly productive.
Asset Maintenance: Manage the upkeep of office infrastructure, scheduling routine maintenance for critical utilities—including power generators, inverter systems, air conditioning units, plumbing, and digital workstation hardware.
Supply Chain & Inventory Controls: Track, procure, and manage the disbursement of office consumables, stationery, and kitchen supplies, preventing inventory stockouts while minimizing waste.
2. Vendor Management & Expense Tracking
External Liaison: Act as the primary corporate point of contact for external service providers, including diesel suppliers, cleaning crews, security guards, waste management agencies, and internet service technicians.
Financial Accountability: Monitor administrative petty cash, track monthly operating expenses, verify vendor invoices against deliveries, and submit detailed operational expense summaries to the finance team.
3. Data Hygiene & Administrative Support
Filing & Compliance: Create, update, and maintain a highly organized digital and physical documentation registry for office records, vehicle documents, building permits, utility bills, and insurance logs.
Policy Enforcement: Enforce compliance with company internal policies, safety regulations, and operational procedures among office staff.
Executive Backup: Provide ad-hoc logistical assistance for corporate events, team meetings, and cross-functional projects as directed by the Head of Admin.
Qualifications and Skills:
Education & Experience Parameters
Academic Minimum: Ordinary National Diploma (OND) in Business Administration, Public Administration, Secretarial Studies, or a related discipline.
Track Record: Minimum of three (3) years of progressive, verifiable experience operating within an administrative, office management, or facility operations role.
Technical Competencies & Location Mandate
Software Tool Stack: Practical proficiency using Microsoft Office Suite (Word for documentation, Excel for basic expense logging, and Outlook or Gmail for corporate communication).
Core Capabilities: Strong organizational agility, the physical stamina required to move across facility floors, excellent verbal communication, and a clear talent for multi-tasking under tight deadlines.
Information Discretion: A proven history of handling confidential corporate information and internal data with extreme discretion, maturity, and absolute professionalism.
Geographic Proximity: Candidates must strictly reside within or around Opebi, Allen Avenue, Maryland, Ojodu-Berger, or immediate Ikeja environs. Proximity is a critical parameter to ensure a stress-free and reliable daily commute to the Opebi office.
