Job Description:
We are seeking a versatile, highly adaptable, and proactive Operations Generalist to serve as the vital connective tissue holding our distributed organization together. This is not a static role where you will perform repetitive daily tasks. Instead, you will move fluidly across four core organizational pillars Human Resources, Finance, Administration, and Special Projects bringing structured order to complexity and building deep cross-functional expertise.

Requirements:
1. Human Resources (25%)
Talent Management: Coordinate full-cycle recruitment pipelines, from drafting and publishing job descriptions to facilitating comprehensive remote onboarding journeys for new hires.
HR Administration: Administer corporate employee benefits, maintain meticulous digital personnel records, and act as the primary internal contact for day-to-day HR inquiries.
Compliance & Growth: Maintain and update internal policy playbooks, ensure compliance with localized labor guidelines, and coordinate team-wide professional development initiatives.
2. Finance & Bookkeeping (25%)
Transaction Management: Process incoming vendor invoices, verify team expense claims, execute timely supplier payments, and manage monthly payroll administration.
Accounting Controls: Perform routine bookkeeping, execute monthly account reconciliations, track departmental budgets, and proactively flag fiscal variances to leadership.
Audit Support: Prepare detailed monthly financial reports and compile necessary ledger documentation to assist external audit processes.
3. Administration & Infrastructure (25%)
Virtual Office Management: Oversee distributed facilities workflows, manage global software vendor relationships, and lead contract or subscription negotiations.
Executive Support: Manage centralized document repository systems, schedule cross-functional meetings, and handle critical calendar logistics for executive leadership.
Procurement: Coordinate the procurement and distribution of company hardware, office supplies, and vital digital tools for the remote team.
4. Operational Systems & Strategy (25%)
Process Optimization: Audit existing business operations to identify bottlenecks and implement scalable process improvements across departments.
Special Projects: Lead cross-functional internal projects, maintain core operational software tools, and assist remote teams with ad-hoc technical troubleshooting.
Institutional Memory: Document workflows and write comprehensive operational playbooks to preserve institutional knowledge as the organization grows.
Qualifications and Skills:
Experience & Background
Track Record: Minimum of 2+ years of professional experience in a dedicated operations, business administration, HR, finance, or corporate support role.
Remote Competency: Proven ability to work independently, manage shifting priorities, and maintain high personal accountability within a fully remote working environment.
Core Technical Stack
Business Software: Advanced proficiency with standard productivity suites, particularly cloud-based spreadsheets (Microsoft Excel / Google Sheets), document editors, and corporate email.
Operational Tools: Prior experience navigating project management tools (e.g., Asana, ClickUp, Trello), communication platforms (Slack), and basic HRIS/accounting tools is highly advantageous.
