Job Description:

We are seeking a meticulous and results-driven Tender Administrator to lead our bid management process. In the world of competitive contracting, winning is a matter of precision, timing, and strategy. Your mission is to coordinate the end-to-end development of high-quality tenders, ensuring every submission is 100% compliant, technically sound, and delivered ahead of schedule.

You will act as the central hub between technical stakeholders, sales teams, and external partners. Beyond document management, you will play a key role in business growth by analyzing bid performance and identifying new market opportunities. Requirements:

1. Tender Development & Compliance

  • Lifecycle Coordination: Lead the tender development process, from initial Expression of Interest (EOI) to final submission.

  • Compliance Assurance: Ensure all bids strictly align with company procedures, technical Standard Operating Procedures (SOPs), and client-specific requirements.

  • E-Tender Management: Masterfully navigate and manage submissions across various E-Tender portals and digital procurement platforms.

2. Strategic Growth & Market Analysis

  • Bid Analysis: Conduct post-submission reviews to identify strengths, weaknesses, and win/loss patterns to improve future success rates.

  • Opportunity Tracking: Monitor procurement boards and industry news to identify new business leads and upcoming tender invitations.

  • CRM Management: Maintain an accurate and up-to-date CRM database to track the sales pipeline and tender timelines.

3. Stakeholder & Sales Support

  • Stakeholder Synergy: Coordinate with technical, legal, and financial departments to gather the necessary inputs for comprehensive bid responses.

  • Relationship Management: Build and maintain strong rapport with clients, partners, and subcontractors to facilitate collaborative bidding.

  • Sales Enablement: Provide high-level administrative support to the sales team, ensuring they have the documentation needed to secure new business.

Qualifications and Skills:

Professional Profile

  • Education: Bachelor’s Degree in Business Administration, Project Management, Economics, or a related field.

  • Experience: Relevant years of experience in tender administration, bid writing, or procurement.

  • Technical IQ: Proficiency in Microsoft Office (specifically Word and Excel) and experience with CRM software and digital procurement portals.

Core Competencies

  • Extreme Attention to Detail: Ability to spot minor errors in documentation that could lead to disqualification.

  • Project Management: Skilled at managing multiple tight deadlines and complex documentation workflows simultaneously.

  • Commercial Awareness: Understanding of what makes a bid competitive in terms of value proposition and pricing.
