Job Description:
We are seeking a reliable and highly organized Finance and Admin Executive to serve as the operational anchor of our company. In this versatile role, you will be the engine that ensures our daily operations run without friction. Your mission is to synchronize three critical functions: maintaining financial health through meticulous record-keeping, nurturing our human capital through HR support, and optimizing our physical workspace through proactive administration.
As the central point of coordination, you will manage everything from expense tracking and asset registers to recruitment logistics and vendor relationships. If you are a professional with 3–4 years of experience who thrives on order, multitasking, and systemic efficiency, we want you to lead our operational success.
Requirements:
1. Financial Operations & Bookkeeping
Transaction Management: Prepare and process invoices and receipts while tracking daily expenses to maintain an accurate financial footprint.
Budget Stewardship: Assist in the preparation of budgets and conduct rigorous expense monitoring to ensure organizational fiscal discipline.
Liaison & Reconciliation: Support basic bookkeeping and work closely with external accountants to facilitate smooth financial reconciliations.
2. HR Support & Talent Coordination
Recruitment Logistics: Manage the end-to-end administrative side of hiring, including posting vacancies, shortlisting candidates, and coordinating interviews.
Onboarding & Records: Lead the employee orientation process and maintain a "gold-standard" filing system for all personnel records (physical and digital).
Policy Compliance: Ensure all operations align with internal company policies and statutory labor requirements.
3. Administrative Excellence & Asset Management
Office Logistics: Organize executive meetings, complex travel arrangements, and corporate events while ensuring office supplies are always stocked.
Asset & Facility Oversight: Maintain a comprehensive asset register, oversee facility maintenance, and ensure all company licenses and contracts are up to date.
Procurement: Manage vendor relationships and support the procurement process to ensure the company receives maximum value from service providers.
Qualifications and Skills:
Professional Profile
Education: Bachelor’s Degree in Business Administration, Finance, or a related field.
Experience: 3–4 years of proven experience in a role combining administrative, finance, or HR functions.
Software Proficiency: Basic knowledge of accounting software (e.g., Zoho Books) and high proficiency in Microsoft Office.
Core Competencies
Organization: Exceptional multitasking skills with a "systems-first" mindset.
Communication: Strong interpersonal skills to navigate relationships with staff, vendors, and stakeholders.
