Job Description:
We are seeking a professional and welcoming Receptionist to be the primary point of contact for our organization. In this role, you will manage our front desk daily, serving as the face of the company for visitors while acting as a vital administrative hub for our internal operations. You will balance a variety of clerical tasks from managing high-volume communications to coordinating travel and expenses ensuring that our office runs smoothly and remains secure.
The ideal candidate possesses a "customer-first" attitude, a polished professional appearance, and the multitasking ability to handle diverse administrative responsibilities with poise.
Requirements:
Front-of-House & Communication
Guest Relations: Greet and welcome guests immediately upon arrival, directing them to the appropriate personnel or office.
Call Management: Answer, screen, and forward incoming phone calls while providing accurate information via phone, email, and in-person.
Mail & Logistics: Receive, sort, and distribute daily mail and deliveries; manage outgoing correspondence and vouchers.
Security & Office Maintenance
Access Control: Maintain office security by following safety procedures and controlling access via the reception desk (monitoring the logbook and issuing visitor badges).
Environment Oversight: Ensure the reception area is tidy and presentable, fully stocked with necessary stationery, forms, and brochures.
Inventory: Order front office supplies and maintain a detailed inventory of stock to prevent shortages.
Administrative Support
Coordination: Update organizational calendars, schedule meetings, and arrange travel and accommodations for staff.
Financial Tracking: Keep updated and accurate records of office expenses and administrative costs.
Clerical Tasks: Perform essential duties including filing, photocopying, transcribing, and faxing to support various departments.
Qualifications and Skills:
Education & Experience
Qualification: High school degree; an additional certification in Office Management or a related field is a significant advantage.
Proven Track Record: Previous experience as a Receptionist, Front Office Representative, or in a similar administrative role.
Technical & Professional Skills
Software: Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
Equipment: Hands-on experience with standard office equipment, including printers, scanners, and multi-line phone systems.
Communication: Solid written and verbal communication skills with a professional demeanor.
