Job Description:

We are seeking a highly organized and proactive Administrative Assistant to support the operations of our diversified group of companies. In this role, you will be the central hub of our office, providing comprehensive administrative support across business units ranging from Architectural Consulting to Oil & Gas. You will be responsible for maintaining an efficient work environment, managing complex documentation, and supporting basic financial processes with the highest level of professionalism and attention to detail.

The ideal candidate is a versatile professional who can pivot between different industry requirements while maintaining a tidy, structured, and high-functioning office space.

Requirements:

Office Operations & Management

  • Multidisciplinary Support: Provide administrative assistance across various business units, adapting to the specific needs of hospitality, manufacturing, and real estate teams.

  • Environment Maintenance: Ensure a clean, organized, and professional working environment is maintained at all times.

  • Supply Chain Liaison: Monitor office supplies and coordinate procurement activities to ensure zero downtime in office operations.

Documentation & Communication

  • Information Management: Prepare, format, and manage high-quality documents, reports, and professional correspondence.

  • Filing Systems: Maintain accurate and well-structured filing systems, ensuring both physical and digital records are easily retrievable and secure.

  • Stakeholder Relations: Serve as a professional point of contact for internal staff and external stakeholders, handling inquiries with poise and efficiency.

Financial & Tactical Support

  • Basic Finance: Handle petty cash, manage office expenses, and record transactions accurately to support the finance department.

  • Coordination: Manage schedules, organize meetings, and coordinate appointments for leadership across the different sectors.

  • Process Efficiency: Ensure all administrative workflows are carried out in strict alignment with established company standards.
