Job Description:

We are seeking a reliable and organized Admin Officer to join our team in Lagos. In this role, you will be the engine of our daily operations, ensuring that the office environment is productive, professional, and well-coordinated. You will handle a diverse range of responsibilities from managing facility logistics and vendor relationships to providing essential clerical support to various departments.

The ideal candidate is a proactive multitasker with a strong attention to detail and the ability to maintain a seamless workflow in a fast-paced corporate setting.

Requirements:

Office Coordination & Logistics

  • Daily Operations: Oversee the day-to-day administration of the office to ensure a smooth and efficient work environment.

  • Procurement: Manage the inventory of office supplies and stationery, ensuring timely replenishment and cost-effective purchasing.

  • Facility Management: Coordinate with service providers (cleaners, security, and maintenance technicians) to ensure all office facilities are in excellent working condition.

Administrative Support

  • Documentation: Maintain an organized filing system for both physical and digital records, ensuring sensitive information is handled with confidentiality.

  • Communication: Manage incoming and outgoing correspondence, including emails, letters, and deliveries.

  • Meeting Support: Schedule and coordinate internal meetings, prepare boardrooms, and take minutes as required.

Operational Liaison

  • Travel & Accommodation: Assist with travel arrangements, including flight bookings and hotel accommodations for staff and management.

  • Expense Tracking: Monitor and record petty cash transactions and office-related expenses for reporting to the finance department.

  • Vendor Management: Maintain an updated database of approved vendors and contractors, ensuring service-level agreements are met.

Qualifications and Skills:

Education & Experience

  • Qualification: Candidates should possess a Bachelor’s Degree or HND in Business Administration, Public Administration, or a related field.

  • Experience: Proven experience in an administrative or office management role is required.

Technical & Professional Skills

  • Software: Proficiency in Microsoft Office Suite (Word, Excel, and Outlook).

  • Communication: Strong verbal and written communication skills with a professional demeanor.

  • Organization: Exceptional time-management skills and the ability to prioritize tasks effectively under pressure.
