Job Description:
We are seeking a professional and hospitable Front Desk Executive to be the welcoming face of our organization. This is a versatile administrative role for a candidate who is as comfortable managing executive travel arrangements and immigration documentation as they are ensuring the front office runs like clockwork. You will act as the primary point of contact for guests and a vital support pillar for our HR and Finance teams.
Requirements:
Front-of-House Management: Create a professional and inviting environment for all visitors. You will manage the visitor register, ensure security protocols (tagging) are followed, and maintain the aesthetic standard of our waiting areas.
Communication Hub: Answer, screen, and route incoming calls and emails with courtesy and efficiency.
Operational Support: Monitor attendance registers, manage office supply inventory, and maintain accurate records of company equipment.
Administrative & Executive Assistance: Support leadership by handling travel logistics (flights, hotels, and ground transport) and providing assistance to HR and Finance teams.
Immigration Liaison: Coordinate essential immigration tasks, including e-CERPAC processing, Visa applications, and Expatriate Quota Returns.
Data & Documentation: Handle accurate data entry, document scanning, and the sorting/distribution of incoming mail.
Qualifications and Skills:
Education: HND or Bachelor’s degree in Business Administration, Public Administration, Office Technology and Management (OTM), or a related field.
Experience: A minimum of 3 years in a similar administrative role. Prior experience as an Executive Assistant to a CEO is a significant advantage.
Technical Proficiency:
Advanced knowledge of Microsoft 365 Suite (Word, Excel, Outlook).
Nice-to-have: Graphic design skills (Canva/AI tools) and membership in a professional body like ICSAN.
Key Competencies:
Immigration Knowledge: A functional understanding of visa and expatriate compliance protocols.
Communication: Exceptional verbal and written communication skills with a hospitable demeanor.
Logistics: Demonstrated ability to manage complex travel arrangements and bookings.
Multitasking: Strong organizational skills with the ability to pivot between receptionist duties and executive support tasks seamlessly.
