Job Description:
We are seeking a meticulous and highly organized Finance Assistant to serve as the operational backbone of our Finance Unit. In this role, you will do more than just process numbers; you will be the guardian of our financial integrity, ensuring that every transaction is accurate, authorized, and audit-ready.
You will support the full lifecycle of our financial operations—from managing petty cash and bank reconciliations to assisting with complex donor financial reports. Requirements:
1. Transactional Excellence & Record Keeping
Voucher Management: Prepare and process payment vouchers, expense claims, and petty cash with 100% accuracy.
System Integration: Post daily transactions into the accounting system (QuickBooks, Sage, or Odoo) and maintain a "real-time" trial balance.
Archival Stewardship: Maintain a world-class filing system (both physical and electronic) that ensures any document can be retrieved instantly for spot checks.
2. Budgetary Control & Reporting
Expenditure Tracking: Monitor project spend against approved budgets, proactively flagging variances to the Finance Manager.
Donor Compliance: Assist in the preparation of schedules and documentation for monthly, quarterly, and annual donor financial reports.
Cash Management: Execute monthly bank and cash reconciliations, ensuring the petty cash float is accounted for and utilized according to policy.
3. Audit Readiness & Internal Controls
Policy Enforcement: Ensure every transaction adheres to internal controls, organizational policies, and specific donor requirements.
Audit Support: Take a lead role in preparing supporting documents for external audits, ensuring a seamless and high-scoring audit process.
Technical Support: Act as a resource for non-finance program teams, providing them with the financial information and training needed to follow basic procedures.
Qualifications and Skills:
Professional Profile
Education: Diploma or Bachelor’s degree in Accounting, Finance, Business Administration, or a related field.
Experience: 2–3 years of core experience in finance or accounts. Experience with NGOs, donor-funded projects, or faith-based organizations is a significant advantage.
Technical Stack: High proficiency in Microsoft Excel and familiarity with automated accounting software.
