Job Description:
We are seeking an exceptionally intelligent, proactive, and discreet Chief of Staff / Executive Assistant to serve as the primary strategic and operational support to the Chairman. This is not a traditional administrative role; it is a high-visibility position for a professional who can act as a force multiplier for the Chairman’s time, influence, and decision-making. You will serve as a sophisticated gatekeeper, a diplomatic representative, and a project shepherd, ensuring that the Chairman is briefed, prepared, and focused on high-value initiatives. The ideal candidate possesses high emotional intelligence, a "systems-first" mindset, and the ability to navigate complex stakeholder landscapes with absolute confidentiality.
Requirements:
1. Strategic Support & Gatekeeping
Calendar Architecture: Manage and optimize the Chairman’s complex calendar, moving beyond simple scheduling to strategic prioritization and conflict mitigation.
Risk Anticipation: Proactively identify risks and flag critical issues requiring executive attention before they escalate.
Value-Added Gatekeeping: Act as a filter for all incoming requests, ensuring only high-priority, value-adding matters reach the Chairman’s desk.
2. Stakeholder Engagement & Representation
Diplomatic Liaison: Represent the Chairman at internal meetings and delegated external engagements, communicating with board members, government officials, and community leaders.
Reputation Management: Manage sensitive relationships with tact and diplomacy, ensuring every interaction reinforces the Chairman’s professional standing.
Briefing & Intelligence: Ensure the Chairman is fully briefed for all engagements with comprehensive notes, speeches, and executive summaries.
3. Operational Efficiency & Information Governance
Workflow Automation: Leverage AI-enabled tools and digital automation to enhance the productivity of the Chairman’s office and streamline administrative workflows.
Project Tracking: Monitor special projects and executive directives to ensure cross-functional teams are meeting timelines and quality standards.
Information Security: Handle sensitive financial, strategic, and personnel data with absolute discretion, maintaining secure digital and physical filing systems.
Qualifications and Skills:
Professional Background
Academic: Bachelor’s degree in Business Administration, Management, Law, or Communications (Master’s degree or professional certification is a significant advantage).
Tenure: Minimum of 5 years’ experience supporting senior leaders, founders, or chairmen in high-stakes environments.
Tech Mastery: Advanced proficiency in Microsoft Office, Google Workspace, project management tools (ClickUp/Notion), and AI productivity solutions.
Core Competencies
