Job Description:
We are seeking a high-energy, detail-oriented Executive Secretary and Front of House Manager to serve as the operational heartbeat of our firm. In this dual-impact role, you will be the first point of contact for high-value clients and the primary coordinator for our internal administrative workflows. You will blend polished brand representation with rigorous financial record-keeping and office management. The ideal candidate thrives in fast-paced environments like Real Estate or Law, where precision, tech-savviness, and professional poise are non-negotiable.
Requirements:
1. Front of House & Client Relations
Brand Ambassadorship: Act as the face of the firm, welcoming clients and partners with a high level of professionalism and warmth.
Client Interface: Manage all incoming high-level correspondence, ensuring inquiries are directed to the appropriate departments with speed and accuracy.
Environment Stewardship: Ensure the reception and common areas consistently reflect the firm’s premium brand standards.
2. Administrative & Operations Support
Executive Secretarial Duties: Provide comprehensive support to the leadership team, including calendar management, meeting coordination, and travel logistics.
Document Control: Manage the filing and retrieval of sensitive documents, contracts, and project records, ensuring 100% organizational integrity.
Workflow Optimization: Identify and implement office systems that improve daily operational efficiency.
3. Financial Record Keeping
Transaction Tracking: Maintain accurate logs of office expenses, petty cash, and basic client billing/invoicing.
Reporting: Prepare weekly administrative and financial summary reports for management review.
Resource Management: Oversee vendor relationships and office supplies to ensure zero downtime in operations.
Qualifications and Skills:
Education & Experience
Academic: B.Sc/HND in Office Management, English, Mass Communication, or a related field.
Tenure: 2+ years in an administrative or secretarial role, with a strong preference for experience in Real Estate, Construction, or Law firms.
Tech Mastery: Highly tech-savvy with expert proficiency in MS Word and Excel.
Core Competencies
Communication: Exceptional verbal and written skills; ability to draft professional briefs and engage with high-profile stakeholders.
Detail Orientation: A "hawk-eye" for accuracy in documentation and financial record-keeping.
