Job Description:
Progress the vision of assigned startup companies by implementing marketing/business development plans to targeted markets. Responsibilities includes:
- Be responsible for heavy calendar management, requiring interaction with both internal and external executives and assistants, as well as consultants, to coordinate a variety of complex executive meetings.
- Answer phones and direct all incoming calls to appropriate party promptly and efficiently
- Communicate and handle incoming and outing going electronic communications on behalf of the president
- Assist the CMD /ED with preparation of presentation materials.
- Review and summarize miscellaneous reports and documents; prepare background documents and outgoing mails as necessary.
- Assist in pipeline/forecast preparation and management.
- Prioritize and manage multiple projects simultaneously and follow through on issues in a timely manner
- Arrange travel schedules and reservations as needed, including expenses reimbursement
- Work closely with the CMD/ED to coordinate and launch hardcopy or email campaigns to consultants, clients and potential clients.
- Schedule task and coordinate with various team members
- Administrator for all resources, products, equipment and other shared office services
- Additional duties as assigned by the executive team
Requirements:
- Excellent written and verbal communication skills.
- Excellent time management skills; able to prioritize.
- Motivated to take on additional projects and solve problems.
- Comfortable in a fast-paced environment with multiple tasks and projects at hand.
- Able to organize and manage large amounts of files, tasks, schedules, and information.
- Self-directed and able to work without supervision.
- Energetic and eager to tackle new projects and ideas.
- Comfortable in both a leadership and team-player role, manages team members, leads assistant meetings, and supervises when needed.
- Able to perform clerical duties, maintaining files and confidential information, organizing documents as needed.
- Prior experience as executiveassistant, office administrator, or handling administrative responsibilities in a related field.
- Highly organized multitasker who works well in a fast-paced environment.
Qualifications and Skills:
- A Bachelor’s Degree, in Business, Administration, or related field preferred.
- Minimum of five year experience in a similar role.
