Job Description:
- The Assistant Secretary provides administrative and organizational support to senior management, ensuring efficient coordination of office operations.
- The role involves managing documentation, scheduling meetings, maintaining records, and supporting communication across departments within the organization’s food production, agricultural, and distribution operations.
Key Responsibilities
- Provide day-to-day administrative support to the Company Secretary and management team
- Prepare, organize, and maintain official documents, reports, and records
- Schedule meetings, appointments, and coordinate logistics for internal and external engagements
- Record and distribute minutes of meetings accurately and promptly
- Handle incoming and outgoing correspondence (emails, letters, calls) professionally
- Maintain confidentiality of sensitive corporate information
- Assist in compliance documentation and regulatory filings where required
- Support communication between departments, including production, distribution, and supply chain units
- Manage office supplies and ensure smooth administrative operations
- Assist in coordinating company programs such as farmer support initiatives and internal projects.
Requirements:
- Bachelor’s Degree in Business Administration, Secretarial Studies, or related fields
- Proven experience in administrative or secretarial roles (preferably in FMCG, agriculture, or manufacturing sectors)
- Strong organizational and multitasking skills
- Excellent written and verbal communication skills
- Proficiency in Microsoft Office (Word, Excel, PowerPoint)
- High level of discretion and professionalism
- Ability to work in a fast-paced environment.
