Job Description:

Total Data Limited is seeking a highly organized and proactive Admin Officer to anchor our office operations. In this role, you are the custodian of our working environment. Your mission is to ensure that our infrastructure is resilient, our supplies are never depleted, and our facilities—from power systems to security networks—are maintained to the highest standards.

You will manage the critical "vitals" of the office: diesel procurement for generators, inventory control for essentials, and facility maintenance schedules. If you are a resourceful problem-solver with 1–2 years of experience and a "zero-downtime" mindset, we invite you to lead our administrative support services.

Requirements:

1. Facility Resilience & Office Operations

  • Infrastructure Stewardship: Oversee the maintenance of all office systems, including HVAC (AC), CCTV, fire safety equipment, and power generators.

  • Power Continuity: Monitor diesel consumption with precision and coordinate timely procurement to prevent any disruption to business operations.

  • Environmental Standards: Ensure a clean, safe, and professional office environment that complies with health and safety regulations.

2. Strategic Procurement & Inventory Control

  • End-to-End Procurement: Source and procure stationery, PPEs, and branded materials in strict alignment with company policy and cost-efficiency goals.

  • Inventory Governance: Maintain accurate stock records, implementing Minimum Reorder Levels (MRL) to ensure zero stock-out incidents.

  • Accountability: Conduct periodic stock-taking and reconciliations to ensure 100% accuracy in the disbursement of office consumables.

3. Administrative Compliance & Support

  • Onboarding Support: Process and issue employee ID cards and branded materials promptly for new and existing staff.

  • Record Integrity: Maintain a rigorous filing system (physical and electronic) that is "audit-ready" at all times.

  • Cost Management: Identify and implement cost-saving initiatives within the administrative department without compromising service quality.

Qualifications and Skills:

Professional Profile

  • Education: Minimum of OND in Business Administration or a related discipline; a Bachelor’s Degree is an added advantage.

  • Experience: 1–2 years of proven experience in an administrative or facility management role.

  • Technical Skills: Proficiency in record management, stock control, and basic facility troubleshooting.

Core Competencies

  • Resourcefulness: A proactive approach to solving maintenance issues and vendor challenges.

  • Negotiation Skills: Ability to engage vendors to secure the best value for the company.

  • Attention to Detail: High precision in inventory tracking and documentation.
