Job Description:

  • Operational Oversight: Coordinate and streamline daily office and administrative functions to ensure an uninterrupted business environment.

  • Team Supervision: Directly supervise junior administrative staff and manage outsourced support personnel (security, janitorial, etc.) to maintain high performance standards.

  • Facility & Asset Management: Oversee facility upkeep and basic maintenance. Implement robust asset tracking systems to safeguard company property.

  • Vendor & Service Management: Act as the primary liaison for third-party vendors, monitoring service delivery to ensure it meets contractual obligations and quality standards.

  • Logistics & Fleet Coordination: Support the scheduling of company vehicles, maintain fleet documentation, and coordinate logistics to optimize movement and reduce costs.

  • Documentation & Reporting: Maintain meticulous administrative records and prepare regular reports on facility status, inventory, and operational expenses.

Requirements:

Competencies

  • Policy Compliance: Ensuring all office activities adhere to corporate governance and safety standards.

  • Resource Allocation: Effectively managing office supplies and maintenance budgets.

  • Problem-Solving: Addressing facility issues or logistical bottlenecks with speed and efficiency.

Qualifications and Skills:

  • Education: Bachelor’s degree in Business Administration, Management, or a related field.

  • Experience: 5–7 years of progressive experience in administration or office coordination.

  • Leadership: Proven supervisory experience is mandatory; must be able to manage diverse teams and external contractors.

  • Core Skills: Strong organizational and multitasking abilities with excellent verbal and written communication skills.
