Job Description:
We are seeking a highly organized and professional Secretary to serve as the operational anchor of our office. In this role, you will be the primary engine behind our daily administrative functions, ensuring that the management team is supported and office operations run without friction. You will move beyond simple clerical work to become a master of coordination—managing high-priority calendars, safeguarding sensitive documentation, and serving as a polished first point of contact for our partners. Requirements:
1. Office Administration & Communication Hub
Correspondence Management: Act as the central nervous system for office communication, managing phone calls, emails, and official correspondence with speed and accuracy.
Visitor Relations: Greet and attend to guests with a professional demeanor, ensuring a positive and polished first impression of the organization.
Management Support: Provide direct administrative assistance to leadership, executing day-to-day tasks that allow management to focus on strategic priorities.
2. Logistics & Schedule Optimization
Calendar Governance: Proactively manage meeting schedules and appointments, ensuring the executive team’s time is protected and efficiently allocated.
Travel & Meeting Prep: Organize necessary materials for meetings, including agendas, reports, and digital presentations.
3. Information Governance & Record Keeping
Filing Systems: Maintain both physical and digital filing systems that ensure information is organized, easily retrievable, and strictly confidential.
Document Preparation: Draft, format, and organize professional reports and documents using the MS Office Suite.
Data Integrity: Ensure all records—from meeting minutes to contact databases—are accurate and updated in real-time.
Qualifications and Skills:
Professional Profile
Education: OND / HND / B.Sc in Secretarial Administration, Business Administration, or a related field.
Experience: Proven experience as a Secretary or Administrative Assistant is a significant advantage.
Technical Proficiency: Must be highly proficient in Microsoft Word, Excel, and professional email etiquette.
