Job Description:
Are you a smart, organized, and ambitious individual looking to kickstart your career in a professional law firm? We are seeking a Junior Company Secretary to serve as the administrative backbone of our team. This is an ideal entry-level role for a "fast learner" who wants to gain exposure to legal documentation, client relations, and office management. You will support our lawyers in maintaining the highest standards of confidentiality and organization. If you have a professional attitude and a willingness to learn the ropes of a legal practice, we want to help you grow.
Requirements:
1. Legal Documentation & Records Management
Document Processing: Assist in typing and formatting high-quality letters, legal documents, and reports to ensure they meet firm standards.
Filing Mastery: Organize and maintain both physical and electronic client files, ensuring that any document can be retrieved at a moment's notice.
Information Integrity: Serve as a custodian of client and firm information, maintaining absolute confidentiality and professional ethics.
2. Client Coordination & Front Office Excellence
First Impressions: Receive clients with a high degree of courtesy, serving as the professional face of the firm.
Communication Hub: Manage incoming calls, take accurate messages, and handle basic email correspondence with clarity and politeness.
Schedule Management: Help coordinate appointments, internal meetings, and critical court dates to ensure the legal team is always on track.
3. General Operational Support
Meeting Support: Assist in taking notes and preparing simple meeting minutes for internal or client briefings.
Team Synergy: Provide daily administrative support to lawyers and senior staff, handling office errands and general tasks with a proactive attitude.
Qualifications and Skills:
The Ideal Profile
Education: Minimum of SSCE or OND in any relevant field.
Experience: This is an entry-level role. Little or no experience is required, though any previous office experience is a plus.
Tech Basics: Basic knowledge of Microsoft Word and professional email usage.
Mindset: A positive "can-do" attitude and a strong willingness to follow instructions and learn new skills.
