Job Description:

The Office Assistant will provide vital support for daily administrative and operational activities, ensuring the smooth and efficient functioning of the office. Responsibilities include clerical tasks, assisting staff and visitors, managing office supplies, and running errands as required. The ideal candidate will be dependable, detail-oriented, and capable of handling multiple tasks in a fast-paced environment.

 

Key Responsibilities

  • Maintain cleanliness and organization of all office areas.
  • Assist with filing, photocopying, scanning, and organizing documents.
  • Distribute incoming mail, memos, and other correspondence to the appropriate recipients.
  • Run errands, including collecting supplies, making deliveries, or retrieving documents.
  • Monitor inventory levels and restock office and cleaning supplies as needed.
  • Prepare and serve refreshments for meetings and guests when required.
  • Assist with basic data entry and record-keeping tasks.
  • Support administrative staff in meeting and event preparations.
  • Welcome visitors and direct them to the appropriate contacts or meeting rooms.
  • Ensure office equipment is in good working order and report any issues promptly.

Requirements:

  • 1–2 years in a similar office support role
  • Basic office procedures (filing, mail handling, record-keeping)
  • Use of office equipment (printers, scanners, etc.)
  • Workplace cleanliness, hygiene, and safety standards
  • Inventory and supply management
  • Confidentiality and basic customer service etiquette
  • Good communication and interpersonal skills
  • Strong time management and reliability
  • Attention to detail and ability to multitask
  • Basic problem-solving and initiative
  • Experience working in structured office environments
  • Exposure to supply tracking or administrative support tasks

Qualifications and Skills:

  • B.Sc degree in Social Science or any other relevant field of study.
  • Previous experience in a similar role and Basic computer literacy (e.g., MS Word, Excel) is an added advantage
