Job Description:

We are seeking a highly organized and mission-driven NGO Administrator to serve as the operational backbone of our organization. In this role, you will do more than manage an office; you will ensure that our resources are utilized effectively to drive social impact. You will be responsible for streamlining administrative workflows, ensuring strict regulatory compliance, and maintaining the transparent communication channels necessary to retain donor trust. The ideal candidate is a proactive multitasker who understands that excellence in administration is a direct catalyst for successful community development and humanitarian work.

Requirements:

1. Operational Governance & Documentation

  • Administrative Oversight: Lead the daily operations of the NGO office, ensuring a professional and efficient environment for staff and volunteers.

  • Information Stewardship: Build and maintain robust physical and digital filing systems to ensure all organizational records—from project reports to legal credentials—are audit-ready.

  • Compliance Management: Ensure all activities strictly adhere to local NGO regulations, donor requirements, and internal organizational policies.

2. Program Coordination & Stakeholder Engagement

  • Program Support: Assist the programs team in planning, executing, and reporting on field activities, ensuring that logistical needs are met within project timelines.

  • Donor & Partner Relations: Manage professional correspondence with donors and stakeholders, serving as a reliable point of contact for inquiries and updates.

  • Meeting Governance: Coordinate board and staff meetings, ensuring agendas are focused and minutes are accurately captured to drive follow-up actions.

3. Financial Support & Resource Management

  • Budgetary Assistance: Support the finance team in preparing project budgets, tracking expenses, and maintaining basic financial records for transparency.

  • Procurement & Logistics: Manage the acquisition of goods and services needed for office and program activities, ensuring cost-effectiveness and accountability.

  • Team Supervision: Lead and mentor office staff and volunteers, fostering a culture of dedication and professionalism.

Qualifications and Skills:

Education & Experience

  • Academic: Bachelor’s degree in Administration, Social Sciences, Management, or a related field.

  • Tenure: Minimum of 2 years of experience within an NGO or a mission-driven organization.

  • Technical Savvy: Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and basic digital reporting tools.

  • Mission Alignment: A genuine passion for community development and humanitarian causes.

  • Communication: Excellent written and verbal skills, with the ability to draft professional reports and donor letters.
