Job Description:
We are seeking a highly proactive and organized Executive Secretary / Assistant to provide comprehensive administrative and strategic support to the CEO. This is a high-impact role designed for a professional who excels in fast-paced, multinational environments and can manage complex priorities with grace and precision.

Requirements:
Executive & Administrative Support
Calendar Mastery: Manage and coordinate a complex, dynamic calendar, including high-level meetings, appointments, and tight travel schedules.
Communication Management: Prepare, review, and manage sensitive correspondence, reports, and official presentations.
Time Optimization: Prioritize tasks effectively to ensure the CEO’s time is focused on the highest-value activities.
Coordination & Liaison
Stakeholder Relations: Act as a key point of contact between the CEO and internal teams, senior executives, and external partners.
Meeting Oversight: Lead the coordination of meetings, from agenda preparation to meticulous minute-taking and tracking of action items.
Logistics & Itineraries: Organize and oversee end-to-end business travel, including flights, accommodation, and detailed itineraries.
Strategic Support & Documentation
Project Assistance: Support strategic initiatives and special projects as assigned by the CEO.
Filing Systems: Maintain and optimize both physical and electronic documentation systems to ensure information is secure and easily retrievable.
Proactive Problem Solving: Anticipate potential bottlenecks and address issues before they impact the CEO’s schedule or projects.
Qualifications and Skills:
Education: Bachelor’s Degree in Business Administration or a related field.
Experience:
3–8 years of proven experience as an Executive Assistant or Secretary supporting C-suite executives.
Experience within multinational organizations is highly preferred.
Technical Skills:
Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Strong experience with modern collaboration and project management tools.
