Job Description:
We are seeking a highly competent and self-driven Administrative Secretary to join our ambitious team in Abuja. This role is designed for a professional who thrives in a fast-paced, high-visibility environment and can operate with significant autonomy. You will serve as the organizational anchor for our executive office, ensuring seamless communication and rigorous documentation while contributing directly to our business growth through the independent preparation of proposals and bidding documents.

Requirements:
Executive & Administrative Support
Executive Coordination: Manage complex schedules, travel logistics, and meeting appointments for the executive leadership.
Documentation: Prepare and format high-level correspondence, reports, and professional presentations.
Meeting Management: Take accurate minutes during executive meetings and proactively follow up on action items to ensure execution.
Records Integrity: Maintain secure, confidential databases and filing systems, ensuring all company records are accurate and retrievable.
Business Development & Bidding
Proposal Development: Independently draft and develop comprehensive proposals, formal letters, and strategic documentation without supervision.
Tender Management: Lead the preparation of bidding documents, ensuring all technical and administrative requirements are met for high-stakes opportunities.
Analytical Support: Perform rigorous analysis to support highly visible projects and strategic initiatives.
Communications & Operations
Stakeholder Liaison: Coordinate communication between management, staff, and external partners, serving as a professional point of contact.
Inquiry Management: Monitor and prioritize incoming calls and emails, redirecting inquiries as appropriate to ensure operational efficiency.
Event Support: Organize and provide administrative support for company conferences, stakeholder engagements, and corporate events.
Qualifications and Skills:
Technical Proficiency:
Must be highly computer literate with expert proficiency in Microsoft Office (Word, Excel, PowerPoint, and Outlook).
Proven ability to develop complex proposals and correspondence without supervision.
Communication & Analysis:
Excellent written and oral communication skills, capable of distilling complex subject matter into clear, professional formats.
Strong analytical and multitasking skills with experience in supporting high-pressure work.
