Job Description:
ARQ Studios is looking for a highly organized, high-energy Personal Assistant to act as the right hand to our Founder and the creative team. In a studio environment, things move fast—this role is for a "force multiplier" who can manage the chaos, anticipate needs before they arise, and ensure the Founder stays focused on the big picture.
You will be the bridge between the studio and our clients, managing everything from high-level diary coordination and travel itineraries to the creation of visually compelling pitch decks. If you are a proactive problem-solver with a personal laptop and a "get-it-done" attitude, we want you to help us keep our projects running smoothly.
Requirements:
1. Executive & Diary Management
Time Stewardship: Own the Founder’s diary, scheduling meetings with surgical efficiency and ensuring ample "deep work" time.
Travel Architecture: Organize seamless travel arrangements and detailed itineraries that account for every contingency.
Meeting Governance: Attend key meetings to capture minutes, track action items, and proactively follow up with stakeholders to ensure nothing falls through the cracks.
2. Client Diplomacy & Pitch Support
Primary Liaison: Act as a professional point of contact for clients, communicating deliverables, timelines, and next steps with clarity and poise.
Pitch Deck Preparation: Assist in the design and formatting of high-impact presentations and pitch decks (MS Word & PowerPoint), ensuring ARQ’s visual standards are upheld.
Inbox Mastery: Manage and respond to high volumes of email, prioritizing urgent requests and maintaining a "zero-unread" standard for critical communications.
3. Administrative Systems & Operations
Document Architecture: Organize complex client files and internal documents into highly structured, searchable digital folder systems.
Independent Problem Solving: Use your initiative to troubleshoot logistical hurdles without needing constant supervision.
Operational Agility: Provide general administrative support, coordinating between internal teams and external collaborators to keep projects on track.
Qualifications and Skills:
Professional Profile
Experience: Proven track record in a Personal Assistant, Executive Assistant, or high-level administrative role.
Tech Stack: High proficiency in Microsoft PowerPoint and Word is mandatory. Confident in using digital tools for file sharing and collaboration.
Infrastructure: Access to a personal laptop in good working condition and a reliable, high-speed internet connection suitable for video conferencing.
