Job Description:
We are seeking a highly organized, proactive, and professional Executive Assistant to serve as the primary operational partner to our senior management team. This is not just a support role; it is a position of high trust and coordination. You will be responsible for shielding the executive's time, managing complex communication flows, and ensuring that strategic priorities move forward without friction.
The ideal candidate is a master of logistics—someone who can manage a shifting calendar, coordinate high-stakes meetings, and maintain absolute discretion in a fast-paced environment. If you have 2–3 years of experience and the ability to anticipate needs before they arise, we invite you to lead our executive support function.
Requirements:
1. Schedule Mastery & Time Protection
Calendar Governance: Proactively manage and maintain complex executive calendars, resolving scheduling conflicts and prioritizing high-value appointments.
Meeting Orchestration: Coordinate meetings, prepare comprehensive agendas, and take precise minutes that capture action items and strategic decisions.
Travel & Logistics: Design and execute seamless travel itineraries, including flights, accommodation, and local transport, ensuring the executive is prepared for all external engagements.
2. Communication & Relationship Management
Correspondence Hub: Handle internal and external communications on behalf of management, ensuring a professional brand voice is maintained in every email, letter, and report.
Gatekeeping & Screening: Professionally screen calls, emails, and visitors, acting as a sophisticated filter to ensure management focuses only on essential matters.
Stakeholder Liaison: Serve as a reliable point of contact for staff, high-level clients, and external partners, facilitating smooth information flow and follow-ups.
3. Administrative Excellence & Documentation
Record Integrity: Maintain meticulous physical and electronic filing systems to ensure data accessibility and 100% confidentiality of sensitive information.
Reporting & Presentations: Prepare high-quality reports and PowerPoint presentations, translating raw data and executive notes into polished, boardroom-ready documents.
Office Coordination: Support the day-to-day administrative operations of the executive suite, ensuring all office supplies and technological tools are functioning at peak efficiency.
Qualifications and Skills:
Professional Profile
Education: HND/BSc in Business Administration, Secretarial Studies, or a related field.
Experience: Minimum of 2–3 years of proven experience as an Executive Assistant or in a high-level administrative support role.
Tech Literacy: Expert proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and digital scheduling tools.
