Job Description:
We are seeking a highly proactive and organized Executive PA / Operations Support Officer to serve as the primary engine of productivity for the CEO across multiple business ventures. In a high-growth environment, success is defined by "Anticipatory Execution", the ability to not only manage schedules but to proactively track tasks, coordinate vendors, and ensure that no operational detail falls through the cracks. This role is designed for a "Multiplier", a professional with 2–5 years of experience who can blend "Executive Diplomacy" with the "Logistical Grit" required to manage procurement, artisans, and project timelines.
Your mission is to ensure "Seamless CEO Workflow and Operational Follow-Through." You will be the technical and administrative bridge for the CEO: responsible for calendar governance, vendor orchestration, and cross-business progress reporting. If you possess "Analytical Detail," a mastery of Google Workspace, and a firm but respectful approach to stakeholder follow-up, we want you to drive our operational excellence.
Requirements:
1. Executive Governance & Task Orchestration
Priority Management: Manage the CEO’s complex schedule, ensuring appointments and meetings are prioritized to align with strategic business goals.
Task Lifecycle Tracking: Monitor deadlines and follow-up items across various business engagements, utilizing tools like Google Calendars to ensure zero slippage.
Information Stewardship: Draft routine correspondence, emails, and meeting summaries, ensuring the CEO is briefed and ready for every engagement.
2. Logistics & Procurement Diplomacy
Vendor & Artisan Coordination: Serve as the primary point of contact for external partners, artisans, and vendors; obtaining quotations and ensuring quality delivery.
Logistics Oversight: Manage the movement of goods and procurement activities, ensuring that deliveries are coordinated and documented accurately.
Operational Monitoring: Support the monitoring of on-site project activities, providing the CEO with real-time progress reports and identifying potential bottlenecks.
3. Administrative Integrity & Reporting
Data Organization: Maintain a high-fidelity filing system for receipts, quotations, project documents, and digital records using Google Drive.
Status Visibility: Prepare daily and weekly status updates, providing a clear snapshot of operational health and pending tasks.
Confidentiality & Discretion: Handle sensitive business information and personal tasks with the highest level of professionalism and integrity.
Qualifications and Skills:
Professional Profile
Education: Minimum of OND, HND, or Bachelor’s Degree in a related field.
Experience: 2–5 years in a PA, Admin, or Operations Support role.
Location Edge: Must be based in Ibadan for local logistics and on-site coordination.
Core Competencies
Technical Savvy: High proficiency in WhatsApp (for business), Google Docs, Google Sheets, and digital calendars.
Communication Mastery: Exceptional written and verbal communication skills; able to be "respectful but firm" in follow-ups.
Behavioral Grit: Proactive, detail-oriented, and able to remain calm under the pressure of multiple business timelines.
