Job Description:
We are seeking a highly organized and experienced Site Administrator to serve as the operational backbone of our project site. In this role, you will be responsible for the seamless execution of all administrative, clerical, and logistical functions required to support the site team and Project Managers. You will manage critical documentation—ranging from attendance and permits to progress reports—ensuring that every record is accurate and audit-ready. The ideal candidate is a proactive multitasker who can navigate the complexities of a fast-paced site environment while maintaining a professional and highly organized office structure.
Requirements:
1. Site Governance & Documentation
Records Management: Maintain and verify all essential site documentation, including daily timesheets, staff attendance, and specialized work permits.
Information Integrity: Build and sustain a rigorous filing system (both physical and electronic) that ensures project data is instantly retrievable and secure.
Reporting: Assist Project Managers in the collation of data for daily and weekly site progress reports and official correspondence.
2. Logistics & Operational Support
Logistics Coordination: Act as the primary point of contact for site logistics, ensuring the timely delivery of materials and providing administrative support for site-based staff.
Operational Assistance: Support the Project Manager with daily scheduling, meeting coordination, and the smooth execution of site office operations.
Vendor Liaison: Facilitate communication between site teams and external vendors to minimize delays in support services and material arrivals.
3. Compliance & Team Synergy
Clerical Excellence: Provide high-level clerical support, ensuring all outbound communication and internal memos meet professional standards.
Compliance Monitoring: Ensure all administrative activities at the site level comply with company policies and project-specific regulations.
Team Integration: Foster a collaborative environment by providing reliable support that allows technical teams to focus on core project delivery.
Qualifications and Skills:
Experience & Education
Academic: Bachelor’s Degree in Business Administration, Management, or a related field.
Tenure: 5–7 years of robust experience in site administration, office management, or project-based administrative roles.
Industry Context: Previous experience working on construction or large-scale engineering sites is highly preferred.
Core Competencies
Technical Savvy: High proficiency in the Microsoft Office Suite (Word, Excel, Outlook).
Organizational Mastery: Exceptional multitasking skills with a proven ability to prioritize tasks under pressure.
Communication: Excellent interpersonal and communication skills, both written and verbal.
Precision: A meticulous eye for detail, particularly regarding financial records and regulatory documentation.
