Job Description:

Are you a compassionate communicator who takes pride in being the "face" of an organization? Ruth and Roots is seeking an engaging and organized Medical Receptionist to join our team. Whether you are an experienced professional or a motivated fresh graduate, we are looking for someone who thrives on meeting new people and can provide a warm, professional welcome to our patients. This role requires a unique blend of kindness, calm under pressure, and meticulous attention to detail to ensure our healthcare facility runs smoothly and our patients feel truly cared for from the moment they walk through the door.

Requirements:

1. Front Desk & Patient Relations

  • First Impressions: Greet, welcome, and direct visitors and patients appropriately, ensuring the reception area is impeccably presented.

  • Compassionate Communication: Answer and screen incoming phone calls with a warm tone, providing helpful information to patients and families.

  • Care Coordination: Assist healthcare professionals and patients as needed, acting as a supportive link in the care journey.

2. Clinical Administration & Scheduling

  • Appointment Management: Efficiently schedule patient appointments and manage the facility’s calendar to minimize wait times.

  • Medical Records: Prepare and maintain patient files and medical reports with high accuracy and attention to detail.

  • Data Integrity: Perform essential clerical tasks, including data entry, system updates, and document production.

3. Logistics & Facility Support

  • Mail & Correspondence: Receive, sort, and distribute daily mail and handle postal duties.

  • Supply Oversight: Maintain and monitor assigned medicinal supplies and office equipment to ensure the team has what they need to function.

  • Office Technology: Utilize printers, copiers, and fax machines to support the documentation needs of the medical team.

Qualifications and Skills:

Education & Experience

  • Academic Background: OND/HND/B.Sc. degree in Hospitality Management, Office Administration, or a related field.

  • Professional Tenure: 0–3 years of experience in a receptionist or administrative support role (Fresh graduates with exceptional soft skills are encouraged to apply).

Core Competencies

  • Soft Skills: A naturally kind, warm, and compassionate nature with a calm demeanor in busy environments.

  • Confidentiality: Absolute ability to maintain patient privacy and handle sensitive information in line with healthcare ethics.

  • Technical Literacy: Proficient in Microsoft Office Suite (Word, Excel, Outlook) and comfortable learning medical scheduling software.

  • Organization: Strong multitasking skills and a proactive approach to managing a high-traffic front desk.
