Job Description:
We are seeking an organized and proactive Office Assistant to join our team in Port Harcourt. In a busy corporate environment, the Office Assistant is the "Operational Glue" that keeps daily workflows moving without friction. This role is designed for a "Coordination Specialist", someone who can blend administrative discipline with the interpersonal skills required to manage guest inquiries and office logistics.
Your mission is to ensure "Zero-Friction Office Operations." You will be responsible for the foundational layers of our workplace: from meticulous record-keeping and documentation to providing high-quality support for daily administrative activities. Requirements:
1. Administrative Stewardship & Workflow Support
Core Administration: Handle daily clerical duties, including filing, scanning, and managing office correspondence to ensure information is always accessible.
Documentation Governance: Assist in maintaining accurate physical and digital records, ensuring that the company’s filing system remains audit-ready and organized.
Facility Support: Oversee day-to-day office activities, ensuring that the workspace is orderly and that essential supplies are monitored and replenished.
2. Customer Relations & Communication
First Point of Contact: Respond to customer inquiries with professionalism and speed, whether in person or via telephone, to maintain a positive brand image.
Internal Coordination: Facilitate communication between departments, ensuring that messages and documents are delivered to the right stakeholders promptly.
Meeting Support: Assist in preparing meeting rooms and documentation for internal or client presentations.
3. Digital Competence & Organization
Tech Proficiency: Utilize basic computer software (MS Word, Excel, Email) to draft letters, update spreadsheets, and manage digital communication.
Multitasking Mastery: Manage multiple administrative requests simultaneously while maintaining a high level of accuracy and attention to detail.
Proactive Problem Solving: Identify small operational hitches—such as low stationary or equipment malfunctions—and address them before they disrupt the team.
Qualifications and Skills:
Professional Profile
Education: Minimum of OND, SSCE, or equivalent with a strong interest in administrative excellence.
Location: MANDATORY. Applicants must reside around Agip, Ada George, or nearby areas in Port Harcourt for logistical ease.
Technical Savvy: Basic computer knowledge (MS Office suite and Internet navigation).
