Job Description:
We are seeking a commercially astute and detail-oriented Procurement Officer to lead the sourcing and purchasing functions of our hotel. This role is the backbone of our operational efficiency; you will be responsible for ensuring that the kitchen, housekeeping, and maintenance departments have the high-quality goods they need at the most competitive prices. The ideal candidate blends deep market knowledge with sharp negotiation skills and a commitment to transparency. You will manage the entire procurement lifecycle—from vendor selection and contract negotiation to quality control and inventory forecasting.
Requirements:
1. Strategic Sourcing & Vendor Management
Supplier Selection: Source, audit, and onboard reliable vendors capable of meeting the rigorous quality and safety standards of a luxury hotel.
Negotiation: Lead price negotiations, payment terms, and service level agreements (SLAs) to ensure maximum value for the hotel.
Relationship Management: Build and maintain long-term partnerships with local and international suppliers to ensure priority service and stable pricing.
2. Operational Purchasing & Inventory Flow
Departmental Support: Collaborate with the Executive Chef, Housekeeping Manager, and Maintenance Engineer to forecast demand for food, beverages, and operational supplies.
Order Fulfillment: Manage the purchase and timely delivery of perishables and non-perishables, monitoring order status to prevent costly stock-outs.
Stock Optimization: Monitor stock levels in the warehouse to prevent capital from being tied up in overstock while ensuring 100% availability of guest-critical items.
3. Cost Control & Compliance
Financial Reporting: Maintain meticulous procurement records, invoices, and supplier contracts to support accounting and audit processes.
Cost Analysis: Continuously identify cost-saving opportunities through bulk purchasing, alternative sourcing, or process improvements without compromising brand quality.
Ethical Standards: Ensure all purchasing activities comply with hotel policies, local safety regulations, and the highest ethical standards of transparency.
Qualifications and Skills:
Education & Experience
Academic Background: HND or BSc in Business Administration, Supply Chain Management, Accounting, or a related field.
Proven Tenure: 2–10 years of experience in procurement, with mandatory experience in the hospitality or hotel sector.
Market Knowledge: Extensive knowledge of local suppliers, seasonal price fluctuations (especially for F&B), and market trends.
Technical & Core Competencies
Technical Proficiency: Mastery of Microsoft Excel and experience with hotel-specific ERP or inventory management systems.
Financial Literacy: Strong understanding of budgeting, basic accounting, and cost-benefit analysis.
Interpersonal Skills: Exceptional communication skills with the ability to manage pressure and work collaboratively across diverse departments.
